Department: Sales and Marketing
Position Purpose: The Sales Coordinator, position is designed to provide an entry level into Sales and includes activities such as managing the group room and catering segments in business blocks in Fidelio.
Reports to: Director of Sales and Marketing
Essential Functions:
- Understands requirements for each events and groups, and prepares sales-related documents throughout the sales process (e.g., proposals, banquet event orders, group rooming list, and group resume).
- Demonstrates the successful proposal development and presentation skills to include strong oral and written communication skills.
- Manages group room blocks and meeting space for an average to large-sized assigned groups.
- Responsible for the input of events and group bookings into Fidelio.
- Conducts site inspections and in the absence of the proactive sales person.
- Assists DOSM, Sales Manager, Sales Executive in all related office and sales support duties such as phone coverage, typing, copying, and faxing.
- Ensures that events progress seamlessly by following established procedures, collaborating with other employees, and ensuring accuracy.
- Responsible for preparing all event documentation and coordinates with an appropriate, proactive salesperson and property departments to ensure consistent, high-level service throughout pre-event, event, and post-event phases of property events.
- Understands competitors’ strengths and weaknesses, and knows how to sell against them.
- Conducts targeted account research to determine potential.
- Solicits and qualifies existing accounts which don`t have account owners, and searches for new accounts whose business opportunities meet company criteria.
- Provides positive and aggressive sales activities to achieve personal revenue goals, collaborating with proactive salesperson.
Experience:
- Minimum of two years working experience, preferably within events and the group’s sales environment.
Specific job knowledge and skills:
- Communication skills are utilized a significant amount of time when interacting with others; demonstrated ability to interact with customers, associates and third parties that reflect highly on the hotel.
- Proven ability to work under pressure and meet multiple tight deadlines.
- Proficient in the use of Microsoft Office with excellent typing skills.
- Strong problem solving, analytical, reasoning, motivating, organizational abilities.
- Excellent communication skills, both written and verbal.
- Confidentiality.
- Flexible and possess the initiative to see all assignments and projects through to completion unsupervised.
- Highly personable.
- Fluent in English/Azeri/Russian both written and verbal required.
