Job Purpose:
To manage the company’s supply of products and services. Organizing and monitoring storage and distribution of goods. Strategizing to find cost-effective deals and suppliers. To discover the best ways to cut procurement expenses.
Key Accountabilities:
- Direct, optimize and coordinate full order cycle
- Manage the entire process in the planning of commodities procurement and supply chain activities, inventory control, logistics and distribution, import and customs clearance, ensuring effectively functioning processes to avoid costly delays and lost opportunities.
- Resolve any arising problems or complaints
- Meet cost, productivity, accuracy and timeliness targets
- Ensure effective lines of communication to ensure timely delivery of commodities using the most appropriate procurement procedures.
- Establish and implement a monitoring system that ensures that the prices paid for commodities are in line with local market prices.
- Develop and manage the rosters of suppliers, elaborate supplier selection, and evaluation, quality and performance measurement mechanisms
- Maintains compliance with state, local, and organizational laws, regulations, guidelines, and policies.
- Preparation of Request for proposal documents
- Provide logistical support for project activities; including transport for client visits, events such as workshops, meetings, etc.
- Coordinate the receipt, opening and evaluation of quotations, tenders, or proposals for goods, services or works;
- Carrying out market surveys, monitor and evaluate performance of the supply chain function;
- Ensuring sound partnerships with suppliers and clients;
- Carrying out designated checks on quality and security aspects of procurement;
- Managing the annual supplier pre-qualification exercise;
- Managing the disposal of obsolete and disposable items with authorization from the Director.
- Prepare supplier’s contracts and purchase orders and submit for approval;
- Maintain files and records for all procurement processes, tenders, procurement evaluations, contracts, Purchase orders and all correspondences relating to the procurements;
- Submit procurement documents, contract and POs for payment processing;
- Prepare monthly, quarterly and annual procurement plans and progress reports as required.
Educational Qualifications:
- Degree level education preferably in Business Administration, Logistics or Supply Chain, Economics or other related field
- Professional certification and membership to a reputable procurement and supplies body is highly desirable.
Work Experience:
- Relevant experience (3 to 5 years) in related field required
- Knowledge and experience in Logistic/Supply Chain preferred,
- Good data analysis and calculation skills;
- Good team player;
- Proficient in Word, Excel, Outlook. Power Point
- Excellent communication skill in Azerbaijani and English languages.
